THIRD OPEN EYE SECURITY SERVICES

How to choose a security company in Zambia

Good security starts with clear requirements, transparent procedures and a team that understands your premises.

Start with your site

List your entrances, operating hours, valuable assets and the people who need access. A warehouse and a busy office face different risks; your security arrangement should reflect those differences.

Ask how the service is supervised

Discuss shift handovers, management contacts, incident recording and how concerns are escalated. Ask what reports you will receive and how often the arrangement will be reviewed.

Agree the scope in writing

Your quotation should make staffing, hours, responsibilities and any equipment clear. Confirm which services are included and which require a separate agreement.

Review as operations change

A new entrance, longer opening hours or additional stock can change your requirements. Make security review part of routine operational planning.

Compare proposals on the same basis

Give each prospective provider the same brief: site location, opening hours, entrances, visitor patterns and the tasks you expect guards to perform. Ask whether relief cover, supervision, equipment and reporting are included in the quoted price. A lower total is difficult to assess when one proposal covers fewer hours or assigns responsibilities back to your staff. Keep questions and answers with the proposal so the person approving the contract can compare the actual service, not just the headline cost.

Make the handover workable

Before deployment, identify the client representative who can authorise changes and the supervisor who will receive operational concerns. Walk through how a visitor is admitted, how a delivery is checked and what happens when an instruction is unclear. A written procedure should identify who decides, who records the decision and who is notified. Review this with staff who work outside normal office hours as well as the daytime team. A clear escalation route helps prevent contradictory instructions.

Ask for evidence relevant to your needs

Request current documentation relevant to the proposed service and ask the provider to explain the scope it covers. Discuss personnel preparation, supervision and any specialist requirements directly; a logo or a broad marketing claim cannot establish suitability for your premises. Where references are available, ask about consistency, communication and how problems were resolved. Avoid sharing sensitive site information in an initial open enquiry; arrange a suitable channel for the detailed assessment.

Set a useful first review

Agree when the initial deployment will be reviewed and what evidence will be considered. Useful items include completed handover records, recurring access exceptions, unresolved maintenance issues and feedback from staff. A review should end with named actions and a date to check progress. For example, repeated delivery delays may call for a revised approval process rather than simply adding another guard. Keep the plan proportionate to how your business operates.

Put this guidance into practice

Your next operational review

Use the points above with the people responsible for your site. Confirm which procedures already work and which need a clear owner.

Record an action, owner and review date

Keep a short action list and revisit it after the agreed changes. This article provides general operational guidance; the right service depends on a site-specific assessment.
